About ME-RAP

The Maine Recovery Access Project and the Maine Recovery Action Project, collectively known as ME-RAP, are 501(c) and 501(c)4 non-profit organizations. ME-RAP is a grassroots movement led by people in recovery, people who use drugs, and their allies. We fight for and create programs, policies, practices, and systems that center healing, dignity, and justice—working toward a world where everyone has the resources they need to live well. This position is split between the Maine Recovery Access Project (501c3) and the Maine Recovery Action Project 501(c)(4).


Position Overview

We’re seeking a highly organized, grounded, and values-aligned person to serve as our Executive & Administrative Ally. This person will serve as a trusted partner to the Executive Director and leadership team, helping keep the movement steady, strategic, and supported.

You’ll coordinate internal systems, manage scheduling and logistics, and bring care and clarity to the day-to-day work that keeps ME-RAP strong. This is not just an assistant role—it’s a mission-critical position rooted in relationship, accountability, and collective care. The position will be split between the Maine Recovery Access Project and the Maine Recovery Action Project.


Key Responsibilities

Executive Partnership & Support (40%)

  • Manage the Executive Director’s calendar, inbox, and meeting flow with intention and foresight
  • Support communication with funders, partners, and community leaders by drafting, editing, and organizing materials
  • Track follow-ups and action items across internal and external meetings
  • Help prepare agendas, talking points, and reports for leadership meetings and presentations
  • Offer thought partnership and gentle accountability to help leadership stay focused and grounded


Organizational Operations & Administrative Support (40%)

  • Maintain internal systems: shared calendars, file organization, contact lists, and admin protocols.
  • Coordinate logistics for team meetings, retreats, training, and cross-organizational collaborations.
  • Support expense tracking, reimbursements, and grant-related documentation in collaboration with fiscal staff
  • Help develop and streamline systems that promote transparency, equity, and sustainability


Movement Infrastructure Support (20%)

  • Assist with scheduling, communications, and logistics for ME-RAP campaigns, working groups, and events
  • Respond to inquiries from community members, partners, and youth leaders with professionalism and care
  • Bring a trauma-informed, justice-centered lens to all aspects of organizational support
  • Contribute to a team culture that values laughter, boundaries, accountability, and healing.


You Might Be a Fit If You...

  • Are deeply aligned with ME-RAP’s values of dignity, recovery, healing justice, and grassroots power
  • You’ve learned a bit about our Executive Director, Courtney Gary-Allen—and based on what we’ve seen in our work and values, you believe you could thrive in a close, day-to-day partnership with her. (We love her! No really… we’re not just saying that!)
  • Have 3–5 years of experience in executive support, nonprofit operations, project coordination, or organizing roles (paid or unpaid)
  • Are confident managing time, systems, and competing priorities without becoming rigid or reactive
  • Communicate with clarity and compassion—whether over email, Zoom, or in person
  • Know how to support leadership without losing your voice or boundaries
  • Are tech-savvy and comfortable with tools like Google Workspace, Zoom, Slack, and shared drives
  • Thrive in fast-paced, mission-driven environments with lots of moving parts


Bonus if you...

  • Have lived experience with recovery, harm reduction, criminal justice, or community-based systems
  • Have experience with 501(c) and 501c(4) pattern organizations  (but don’t worry—we’ll train you if not!)
  • Have experience supporting grassroots organizing, youth leadership, or policy advocacy
  • Are familiar with tracking budgets, contracts, or grants (but don’t worry—we’ll train you if not!)
  • Are committed to equity, mutual aid, and centering the wisdom of people most impacted


Compensation & Benefits

  • Compensation: $23 to $30 an hour

  • Location: 3 Days in Augusta Office, 2 Days hybrid/remote; must be based in Maine with ability to travel for meetings/events as needed
